“I have to give a presentation” Well, that is, Dave does. It’s something he has to do periodically and this is another one. So while he is in the middle of creating it he thought to enlist the members of ARMA VI to come and help. We all have to do presentations on records management and done right they can be very effective in promoting your program, explaining a procedure or illustrating a concept. Done not-so-right and your audience gets better at Candy Crush. So the idea is to help Dave but not just Dave – if you have a presentation you want to make better, this is an opportunity to get help from an informed and sympathetic audience – your fellow ARMA VI members, So put it on a flash drive and bring it along.

    ARMAVI North Island Educational Symposium

    Series of talks from Records Management practitioners who have walked the talk and implemented complex systems ranging from EDRMS to new classification schemes.


    Our current roster of speakers include:

    David Young, Records Management Archivist, University of Victoria – Taming your Email Inbox
    David Young is the Records Management Archivist at the University of Victoria, and first gave this talk as part of a series on records management. It covers practical tips for bringing a large volume of email under control, as well as strategies for structuring one's inbox to ensure that the contents remain accessible and uncluttered on a daily basis. Tips make use of Outlook features, but can be easily adapted to other programs. The relevance of this talk tapped a vein in the university community, sparking a viral demand for repeated presentations. Highly recommended for anyone who manages email, or who wants to help others manage email.

    Sharon Byrch, Manager, Information Services, Capital Regional District - CGSB 72.34-2017 and Digital Records
    In March 2017, the Government of Canada published CGSB 72.34-2017, a National Standard that provides guidance on how organizations can strengthen the credibility of digital records as evidence. Sharon will contextualize this standard in her working experiences, and will touch on the intersecting issues of privacy, freedom of information, and organizational transitions.

    Sharon Byrch is the Manager, Information Services for the Capital Regional District in Victoria, BC. Passionate about digitizing government, electronic records management and improving information access while protecting personal privacy, Sharon oversees the CRD’s privacy and records management programs and provides access to records under FOIPPA. Sharon is an active member of the LGMA FOIPPA/Records Management Committee which oversees the FOI Toolkit and Records Management manuals for BC local governments. She co-lead the LGMA workshops on Privacy Impact Assessments (2015) and Implementing Electronic Document and Records Management Systems (2016) and built an Excel-based file plan management tool the LGMA currently sells with its Records Management Manual (2017 to date). Sharon co-authored two ARMA publications: CAN/CGSB 72.34-2017 Electronic Records as Documentary Evidence (2018) and Website Records Management (2009) and is a former ARMA Vancouver Chapter Board member and co-webmistress (2008-2009).

    Tania Aldred, Records Coordinator, District of North Saanich - EDRMS Implementation Adventures
    In 2015, the District of North Saanich set out to purchase an electronic document and records management system (EDRMS). Four years later, in 2019, the system has been implemented across the entire organization. This session will discuss a case study about North Saanich’s journey to completion, providing guidance on embarking on an adventure of your own.

    Tania Aldred is the Records Coordinator at the District of North Saanich with over 12 years of experience in information management. She holds a Master of Library Studies from McGill University, with a specialization in Archives. Her professional interests include the hybridization of information professions, genealogy, and the image of archivists and records managers in popular culture.

    Elizabeth Hilton, Learning Specialist, Province of British Columbia - How to do a Presentation
    This presentation will take you through the process of creating and delivering effective presentations. It includes tips for developing and structuring content, techniques for designing clear PowerPoint slides, and touches on measures that can be used to sidestep nervousness. It describes the mindset that leads to effective body language, as well as the fine art of eliciting participation from an audience. An essential presentation for those who communicate records management issues to audiences.

    Elizabeth Hilton is a Learning Specialist at the Province of British Columbia's Government Record Service, where she splits her time between delivering live presentations and designing online learning modules. Her knowledge is rooted in 10 years of experience in the field of Learning and Development, a journey that began with a Human Resources Diploma, and has been refined by the Master Facilitator Program from The American Society for Training and Development. She loves the challenge of appealing to all learning preferences and lives for the moment when a learner's face lights up.

    Ancestry Continuing Education Award Program

    In 2015, the ACA entered into a five-year sponsorship agreement with Ancestry. Part of this agreement includes an annual scholarship that is developed and overseen by the ACA Foundation. The Foundation Board of Directors was unanimous in its decision to direct this scholarship towards the Indigenous community in Canada and to award it to a recipient studying in the field of archives or records management. The ACA Board and the broader Canadian archival community recognize the significance of the report that resulted from the work carried out by the Truth and Reconciliation Commission. This report includes 94 recommendations or calls to action in order to redress the legacy of residential schools and advance the process of Canadian reconciliation. Bringing greater diversity to the Canadian archival system by increasing the number of Indigenous archivists is one way in which the process of reconciliation could be advanced. This is an annual award of $1,200 and applicants may be pursuing training at any level that advances the applicant’s knowledge in archives or records management. Training could be through a university degree program, a college program, or any a single training session such as a workshop or institute. Applicants are assessed by a committee appointed by the Association of Canadian Archivists Foundation on the basis of a written application. Scholarship holders will also be provided membership in the Association of Canadian Archivists and will have an opportunity to arrange for a mentor to guide them in developing their career, if desired.

    Blockchain For Records: Transforming Our Digital World

    We encourage all members to attend the AGM as it's a great opportunity to meet fellow records and information management professionals and find out what the Chapter has been up to this year.

    We also encourage all members to consider volunteering on the ARMA VI Chapter 2018/19 Board. Volunteering is an excellent opportunity to contribute directly to your organization; to further develop your leadership skills; and to build personal connections with others working or interested in the RIM field! We hope both experienced RIM practitioners and those new to RIM will consider volunteering.

    Board Positions Available for Nomination

    ---President Elect--- Assists the President in performing any duties, and, in the absence or withdrawal of the President, assumes the duties and obligations of the President. Attends monthly Board meetings. Three-year commitment: July 1, 2018 to June 30, 2021 (One year President Elect; One year as President; and One year as Past President).

    ---Treasurer--- Responsible for administering Chapter funds, including preparing budgets, keeping full and accurate accounting of receipts and expenditures, making disbursements as authorized, and preparing and submitting reports. Attends monthly Board meetings. Two-year term: July 1, 2018 to June 30, 2020.

    ---Secretary--- Records the minutes of all meetings of the Board of Directors and General Membership; maintains records of the Chapter; and other duties normally incident to the position. Attends monthly Board meetings. Two-year term: July 1, 2018 to June 30, 2020.

    ---Members at Large--- Attends monthly Board meetings. Contributes to the operation of the Chapter in an ad hoc basis or in a specific functional role. We would particularly like to hear from in those who are interested in assuming the role of Programming Director, Website, or Marketing Director. One-year term: July 1, 2018 to June 30, 2019.

    According to the ARMA Vancouver Island bylaws, all ARMA members in good standing are eligible to nominate themselves or others to fill these leadership roles.     Visualization for Records Management

    An education session in 2 parts presented by Kate Chandler. You are encouraged to attend both sessions, but are welcome to sign up for only one. Both sessions will be held at University of Victoria MacPherson, Library Room 210. Kate is a graduate of the University of British Columbia's Dual Masters of Library, Archival and Information Studies program. She has published an article on the topic of visualizing records, receiving several awards for her work. Currently, she works as an archivist for the Government of British Columbia. This session presents a series of brainstorming exercises designed to help participants formulate a strategy for effectively

    PART 2 - Making effective visualizations in ExcelTuesday, March 6th 2018, 7:30 PM – 8:30 PM Records managers are often able to obtain a dataset that describes each item in their record aggregate. These datasets can be unwieldy and having strategies to understand them is useful. This session will cover the process of making quick visualizations, spotting trends and unusual patterns, zooming in on details, and setting up comparisons with other kinds of data. This session also includes tips for making clear visualizations. This is a hands on session. If you have one, please bring a laptop with Excel installed – we will be making some charts!

    Introduction to Records Management - Jon Weston Jon Weston will be discussing basic records management rationales and procedures with a primary focus on paper records. This presentation is tailored specifically to the local government environment and will introduce and answer questions about records classification and retention schedules (RCRS) as well as document destruction, document scanning, litigation risks, cost savings, and other records management and information governance fundamentals.


    An Introduction to the Generally Accepted Record-Keeping (GARP) Principles - Ken Oldenburger What are the Principles of records management? Accountability, Transparency, Integrity, Protection, Compliance, Availability, Retention, and Disposition. So what does that mean?     Dave Young is the Records Management Archivist for the University of Victoria. Prior to that he was a Records Management and Freedom of Information consultant for many public sector agencies. www.linkedin.com/in/RMDave

    Jon Weston has been involved in a wide range of activities in the records management field for over ten years, including speaking at seminars, lecturing at universities, organizing national and regional conferences, chairing local government committees, and serving in various capacities on the board of his local ARMA chapter, including two terms as chapter president. However, his occupational specialty has always been configuring, implementing, and supporting records & document management software packages. To that end, he has been involved in projects with provincial, regional and local governments, First Nations organizations, financial institutions, and both private and public-sector organizations.

    Ken Oldenburger has been consulting in Records Management and Information Governance for over 20 years and has experience in every aspect of RM with emphasis on Records Classification and Retention Schedule design, Policies and Procedures, Implementation and Training.     A Digital Journey - Dr Know and the Sunshine Coast Regional District - Anne Rathbone and Jordan Uytterhagen - In 2014, the Sunshine Coast Regional District (SCRD) set an ambitious goal - to purchase and successfully implement an electronic document and records management system (EDRMS) within 1 year. This session will discuss a case study that includes: the development of the request for proposal (RFP) and selection process; the change management for staff, including branding the EDRMS as Dr Know; the software configuration and implementation; and the lessons learned. Follow the SCRD's digital journey from smooth sailing to stormy seas, as told by two of the travel guides-- the consultant implementing the software and the SCRD's records management technician.


    Life After Paper: Selecting an Automated Records System - Brenda Prowse - Are you feeling at a loss about making the leap into selecting an automated records tool? This session will help you wade through the process. From requirements gathering to the RFP process, you will be given practical information on how to begin making your selection. Attendees should leave with a higher level of understanding of the steps involved in obtaining an automated records solution.


    Introduction to Managing Information Risk - Jill Teasley & Edwin Yau - Records and information management ( RIM) practitioners are often advised to follow risk management principles to assess information-related risks and prioritize their treatment, but they may not have had exposure to formal risk management methods and practices. This session is intended to help increase RIM practitioners' knowledge of the application of risk management to the RIM discipline by: Providing an overview of risk management as a discipline and how it relates to various aspects of records and information management; Presenting a practical approach to risk management; And discussing a case study demonstrating the application of a risk management approach to information management.

    Regaining the Rights to Records: Trusted Online Access to Distributed Digital Holdings - Michele Spelay - The degree of openness of digital government records can often leave records professionals juggling security, transparency and privacy. This is further complicated when records have not been transferred into archival custody, but rather remain with the creating agency. In a time where open government and easy online access to information is expected, do government archives have a leadership role to play in ensuring that public records held outside archival custody are accessible? Citizens should have access to all appropriate public sector information regardless of format or location, and should not have to search the websites of multiple individual agencies to find what they are looking for. How, then, can we make distributed digital holdings available to the public in a user-friend way while still protecting record integrity and personal privacy? This question involves two parts: first we must address the technical requirements for enabling access, ideally in a "one stop shop" model; and second, we must disrupt the cultural barriers surrounding access to digital records and encourage government agencies to actively make records available rather than wait for requests. Success in achieving this vision will rely on the use of standardized metadata, a commitment to proactive release of public sector information, consistent approaches to redaction and rendering of records for public use and the creation and maintenance of search and discovery systems that can harvest metadata and resources across governments. This session explores these questions through a comparative analysis of Australasian government record keeping and suggests that New Zealand sets the precedent for access to digital government records in distributed custody.

    Biographies


    Brenda Prowse has worked in the IM field since 1992 after obtaining her Master of Library and Information Science (MLIS) from the University of Western Ontario. Her career began at that time with the NL Provincial Department of Justice as a Records Analyst. Since then she has been employed in such roles as: Information Policy Analyst, Development Officer (Records and Information Management), Records Administrator, and Business Analyst within such entities as government, educational institutions and the private sector. In 2003 she started her own company, Continuum Consulting, which mainly provided support and services on TRIM Products throughout Atlantic Canada. In 2005, Brenda joined TOWER Software in Virginia as a Business Analyst implementing software solutions throughout North America. During her tenure at TOWER, Brenda began working on her CRM designation which she successfully obtained in July 2008. Brenda is currently the Director of Professional Services and IM with Prima Information Solutions in St. John's.

    Anne Rathbone is a Certified Records Manager and published author. She is a frequent speaker at local and national ARMA events and is always happy to share the knowledge she has gained over her 21 year career in information management. As the Records Management Technician (and RM Goddess) for the Sunshine Coast Regional District (SCRD), Anne took a lead role in restructuring their shared drive and implementing an electronic document and records management system (EDRMS). She developed and provides ongoing training to all SCRD staff in information management policies and procedures as well as in the use of the EDRMS.

    Jordan Uytterhagen is the Managing Director, Cadence Solutions and has over 10 years of experience implementing ECM & contract management solutions as Project Manager, Solution Architect, and a Business Analyst. These projects included verticals such as document and records management with electronic and physical records, automating business processes and complex system integrations for the Energy, Defense, Technology, Not for Profit, Pharmaceutical and Public Sector industries.

    Edwin Yau is a Senior Manager in the Risk Advisory practice in Deloitte's Vancouver office. He has 11 years' experience at Deloitte managing and executing financial and information technology audits, and providing other assurance and risk advisory services for major public, private and government organizations. During his career with Deloitte, Edwin has been seconded on a four month term to South Australia primarily serving public sector clients in the region. Edwin is a graduate of the Sauder School of Business at the University of British Columbia, specializing in management information systems. He is a Chartered Accountant (CA), a Certified Internal Auditor (CIA) and a Certified Information Systems Auditor (CISA) and is a past president and a continuing member of the Vancouver chapter of ISACA, an association of IT governance professionals.

    Jill Teasley is a Senior Consultant in the Information Management and Analytics Technology practice within the Consulting function at Deloitte. With more than ten years of experience working in information management roles with both private and public sector organizations, Jill specializes in defining and deploying solutions that align clients' business values and compliance requirements to leading enterprise content management (ECM) practices. Jill is a graduate of the Master of Archival Studies program at the University of British Columbia. She is a current member of the Archives Association of British Columbia's Programs Committee and past chair of the Association of Canadian Archivists' Professional Learning Committee.

    Michelle Spelay is a Dual MAS/MLIS candidate at the School of Library, Archival and Information Studies (SLAIS) at UBC. She currently works as a Graduate Research Assistant for InterPARES Trust and as a Records Assistant at the College of Registered Nurses of British Columbia. She holds an English Degree (Hons.) from the University of Victoria and is originally from Comox, BC.

    AABC and ARMA VI - Joint Conference - April 27-28, 2017

    The AABC and ARMA VI are pleased to be holding a joint conference in Victoria B.C. in 2017. We are seeking proposals on the topic of "Dominion of the Digital," extending on themes of concern in both the archival and records management communities in recent years.

    Those of us charged with managing records build on the achievements of our forebears and set the stage for the successes of those that follow. At this juncture, we are challenged by the demands of a hybrid world: paper and digital. Our history serves us well in the management of the former; however the management of the latter requires a different set of skills. Or does it?

    The AABC and ARMA VI invite the archival and records management communities to share their understanding of the challenges of, and solutions for, achieving dominion over the digital, from an individual, organizational, provincial and/or national perspective. Whether you are managing the preservation of a digital community photograph collection, navigating corporate records systems and technologies, or using social media to provide access and engage stakeholders, we all need to strive towards a better understanding of the tools, technologies and best practices needed to successfully manage our digital records and navigate a digital world.

    The AABC will offer a one-day workshop in conjunction with the conference; details to follow in the new year. The AABC Annual General Meeting will take place at the end of the conference.

    Proposals should demonstrate a connection to the conference theme "Dominion of the Digital" and can address the theme through consideration of the following suggested topics:

    The Government Records Service of the Province of BC (link) and the Archives Association of British Columbia (link), with funding from the Documentary Heritage Communities Program (link), are pleased to announce a free lecture, "Digital Preservation in Action: Building Sustainable Programs and Effective Workflows," by Dr. Nancy McGovern and Kari Smith. The lecture will be held on Thursday October 27th at 10:30am in the Auditorium at St Ann's Academy, Victoria, BC (link). No registration is necessary.

    Dr. Nancy McGovern has thirty years of experience preserving digital content and has held senior positions at ICPSR, Cornell University Library, the Open Society Archives, and the Center for Electronic Records of the U.S. National Archives. Since 2012, Dr. McGovern has been responsible for digital preservation at MIT Libraries.

    Kari Smith is the Digital Archivist at the MIT Institute Archives and Special Collections. Prior to joining MIT, Ms. Smith worked at the University of Michigan, Cornell University Library and Columbia University Library.

    eRecord Issues, Questions, and Concerns on the Whiteboard - Ken Oldenburger will facilitate a time to air your concerns, questions and issues with and about electronic records and electronic records management. We won't try to answer them at this time, but will come back to them at the end of the day.


    CAN/CGSB 72.34 - New Draft vs. Previously Approved and Implications of the New Draft CAN/CGSB 72.34 - Dave Young and Ken Oldenburger will lead two back-to-back sessions as informal reports and discussion time on how the so-called "Scanning Standard" is being rewritten. The latest draft of CAN/CGSB-72.34-2015 Electronic Records as Documentary Evidence will be provided to attendees before the conference. This document has the potential to reframe electronic records management in Canada.


    Shared Drive Restructure - A Case Study - Sunshine Coast Regional District - Anne Rathbone and Kris Boutilier - With 44,500 folders containing 465,000 files in its shared drive and the volume growing daily, the staff at the Sunshine Coast Regional District (SCRD) struggled with finding files, with dealing with information silos, and with duplicating documents that already existed. Records Management and Information Technology (IT) staff collaborated to spearhead a shared drive restructure project to gain control of the SCRD's electronic documents. From developing the RFP (Request For Proposals) to implementing all of the changes, this case study will show how to undertake such a project, including what worked and what could have been improved.


    Ditch Document Chaos in 2016 - Richard Hyde will lead a frank discussion on how far we've deviated from good organizational practices once we started sharing documents in computer structures. Are we any better at finding documents than when we housed paper documents in file folders with precise labels? Scanning paper documents and saving email attachments has added to the chaos and confusion.

    Come and hear how an EDRMS system can help you organize and find and retrieve documents. But is that enough? No. Governance from the point a document enters your organization to the final disposition of the document once it has reached its destruction date are equally important, and will protect your business and make it more efficient. Examples of real customer use cases, best practices, and pitfalls to avoid when pursuing a document or records management project will be presented.


    Seizing Opportunities in the Cloud - John Weigelt - The 4th industrial revolution is having a dramatic impact on all aspects of our lives and the world around us. The Internet of Things, Big Data and Cloud computing are not only bridging between virtual and physical worlds, they are also providing amazing new insights into the world around us. While this revolution presents tremendous opportunity, many organizations are reluctant to adopt new approaches to business as a result of privacy and security concerns. Join John as he discusses the technology transformations that are behind the 4th industrial revolution and how organizations can leverage these technologies with confidence.


    "eRasing the Whiteboard" - A final review of the concerns, questions and issues that were raised at the start of the day. Items that have not been addressed will be recorded and may be used for future events and sessions.


    Biographies


    Dave Young is the Records Management Archivist for the University of Victoria. Prior to attaining that position in 2013, he was a records management consultant for many public sector agencies. He will be serving as President of ARMA Vancouver Island for the 2016/17 administrative year.

    Ken Oldenburger has been involved in records management for twenty years. These services have involved: designing and amending records classification systems and retention schedules, and physically and electronically implementing these systems ; drafting information governance policies and procedures ; creating needs assessments and strategic plans ; providing training and advice ; and, of course, filing. Ken has worked for provincial, territorial, municipal, regional and First Nations governments as well as universities and private corporations. Ken is a founding member of the Vancouver Island Chapter of ARMA International (www.armavi.org).

    Anne Rathbone, CRM, has a background in Chemical Sciences (specializing in Pulp and Paper) along with 20 years' RIM experience in local government. She is the Sunshine Coast Regional District's Records Management Technician and was one of the leaders on the SCRD's shared drive project. She developed the RFP and worked closely with the consultant on the new shared drive framework. In addition, she provided the training for all staff on the new shared drive and is responsible for maintaining the integrity of the new framework. She has worked closely with the ARMA Vancouver Chapter, serving as Education Chair for several years, and has helped to bring workshops and conferences to interior BC communities.

    Kris Boutilier has worked for 21 years in IT with the Sunshine Coast Regional District. He has seen first-hand a government organization grow from dozens to hundreds of users, storage capacity increase from hundreds of megabytes to terabytes and the exponential growth in information exchange and hoarding made possible by the adoption of the Internet in the workplace. Coming from the IT side of the fence, he brings an alternate perspective to the topic of electronic file management, particularly the increasing conflict between the desire of Records Managers to discard and users' expectations that IT will always preserve.

    Richard Hyde, a Solutions Consultant with Ricoh Canada, has over 30 years' experience in Business Information Technology. He is a strategic and design lead in Ricoh's Professional Services division supporting Government and Commercial Accounts. Richard develops in-depth working partnerships with key and strategic customers at all levels (staff, managers, C-level) to support customers' business objectives and risk management strategies. Richard is an SME (Subject Matter Expert) for many of Ricoh's solutions such as enterprise scanning, content management, and workflow, to name a few. Richard's career has included assignments with Canon, Xerox, and Ricoh. He has extensive experience working within First Nations, Public Sector, Manufacturing, Retail and Financial verticals implementing enterprise software solutions and providing professional services. Richard focuses on delivering positive business outcomes, efficiencies, risk mitigation and automation of business processes to his customers.

    John Weigelt is the National Technology Officer for Microsoft Canada and is responsible for driving Microsoft Canada's strategic policy and technology efforts. In this role, Mr. Weigelt is the lead public advocate within the company on key issues such as the development of national technology policy and the use of technology by the private and public sectors, including leading Canadian outreach for economic development, innovation, environmental sustainability, accessibility, privacy and security. Mr. Weigelt is also responsible for the development and implementation of strategies which strengthen the company's relationships with the Canadian technology industry at large.

    Weimei Pan, PhD candidate at UBC's School of Library, Archival and Information Studies (SLAIS), and Bernice Chong, Manager of Operations for the Law Society of BC, are both leading local experts on EDRMS implementation and will bring their experiences to this afternoon event.

    1. 'Fun' in 'Functional': Factors in the Acceptance of EDRMS (Weimei Pan, SLAIS (UBC))

    This presentation aims to present the findings of the 'Putting the 'Fun' back in 'Functional'' project. It will discuss the social, organizational, and technological factors influencing the introduction, change management, and the continued use of EDRMS. The findings are grounded in a systematic literature review of technology acceptance, implementation and use of EDRMS and an analysis of the qualitative data collected through semi-structured interviews. The findings will provide a valuable reference for records and information and IT managers, especially those who will roll out an EDRMS or are struggling to improve uptake.

    2. Safari into EDRMS (Case Study) (Bernice Chong, Law Society of British Columbia)

    This presentation is a case study of the Law Society of British Columbia and their implementation of an electronic document records management system. Highlights of both the strengths and challenges of the implementation plan will be presented along with:

    • Background information about the Law Society and its functions;
    • Review of the history of records and information management at the Law Society and its state according to ARMA's Generally Accepted Recordkeeping Principles;
    • Highlights of the processes undertaken by the organization to facilitate the acceptance of information management and the roles and responsibilities of staff.

    How to Handle Requests from Law Enforcement Agencies; Video Surveillance; Privacy Impact Assessments are topics that will be covered by Bradley Weldon from the Office of the Information and Privacy Commissioner for British Columbia. His session will also include a question and answer period, giving attendees a chance to ask questions about related privacy topics.

     

    Critical Collaboration/Records Management, Privacy and Information Security- This session presented by Lara Wilson and Dave Young will focus on the role of records management in the University of Victoria’s operational response to the January 2012 privacy breach.

     

    Breakout Session - Ken Oldenburger will facilitate attendee work groups and conversations on the topics suggested by ARMA VI members for this event. Topics include: records management solutions for smaller municipalities who cannot afford records management software, how to manage electronic records and email, a look at financial records and where the retention periods come from, and getting a records retention schedule in place and keeping it up to date.

     

    Earthquakes and Information - Is your organization ready? - It shouldn’t be news to anyone that a major earthquake is in Vancouver Island’s future. What would happen to your organization’s ability to protect and retrieve critical information when the big one hits? David Miller of CUBE Global Storage will discuss how to approach business continuity and disaster recovery planning, show you how to discover your organization’s vulnerabilities, and explore possible ways to minimize your risks and get your business processes up and running as soon as possible after an earthquake or other disaster.

     

    Integrating the Principles: Access and Privacy and IM - Julie Luckevich will discuss how records and information management and access and privacy programs are beginning to overlap more and more, so why do two separate gap analyses just because there are two sets of principles?  This session will explore the core concepts in both subject areas at a high level, and, using a practical methodology, show how to combine them, using either ARMA's Principles or the CICA's Generally Accepted Privacy Principles as the source model.  Once the gap analysis is done, sample findings can be compiled and condensed into actionable workplans for senior management using either model as the primary source.

(WesternIM), a records and information management consulting firm with a North American presence. With over 40 years of IT experience, Stirling is well-rounded in communications, hardware, software, and system integration and specializes in the implementation of dozens of enterprise records and content management solutions. He has led numerous consulting engagements for needs assessment, gap analysis, policy, and business case development. Stirling has served on various committees and has held numerous executive positions in the Canadian and international levels of ARMA International, including a seat on the International Board of Directors and as President of the Canadian Region. He is a frequent speaker in the United States and Canada. Stirling was one of the initial members of the ARMA GARP' task force, and is a member of the IGP (Information Governance Professional) Development Group and Governance Board.

    Strategies for Information Governance: A Full-Day Conference in Nanaimo, BC

    Please join us for a one-day Information Governance and Records Management conference.

    Our sessions include three informative talks covering everything from how to set up a records management program, through to information and privacy and records management in Sharepoint 2010. And, as always, lots of time to network!

    Note that this year's Nanaimo event is approved by the Law Society of BC for the Continuing Professional Development program.

    Session Descriptions:


    • Building a Records Management House: Using the metaphor of a house, Ken Oldenburger will walk us through the elements necessary to construct a records management program. Although this only allows a cursory examination of each element, the big picture of records management is something that records staff rarely consider. The intention is to see how each portion of a records management program supports the other portions; this will give records staff a new perspective on their role in the organization.

    • Information and Privacy: Justin Hodkinson, an investigator with the Office of the Information and Privacy Commissioner for British Columbia, will cover a variety of hot topics. These topics may include: severing tips; how to handle requests from law enforcement agencies; how to respond to requests for personal information when handling a catastrophic emergency; how to handle a privacy breach; video surveillance; in-camera meetings; and requests for interior building plans. Check back here for further details as we determine the most popular focus to provide attendees.

    • Graham Sibley, founder and CEO of Collabware, will illustrate how Collabware CLM records management software for SharePoint can be used to quickly implement an advanced RM solution that will increase compliance, reduce legal and e-discovery costs, and optimize records management processes, while still providing a fantastic end-user experience. This session will focus on examples of successful implementations with customers in the government, utilities, mining and pharmaceutical industries, and will demonstrate the many capabilities of Collabware CLM that greatly expand SharePoint's RM capacity.


    • Docuware is a state-of-the-art document management system software for professional Enterprise Content Management. By tapping into the valuable information contained in documents, precisely where and when you need it, you can streamline your business practices. Tim Stevens and Jon Weston will highlight Docuware's records management features as well as enhanced workflow functionalities and document capture and access regardless of source.


    • Your Local, Local Government Pioneer for RM in SharePoint 2010: Stacie Barclay will take you through the implementation thus far of SharePoint 2010 at the City of Langford. She will explore the success and the struggles, along with some lessons learned along the way. You will laugh and cry right along with her and leave with some insight into the elements to consider during a SharePoint implementation in your environment.

    How to Plan and Execute a Successful Scanning Project

    Scot Fraser and Steve Smith of Ricoh Canada both have over 20 years' experience in the field of Electronic Document Management (EDM).

    EDM has only been around for the last 20 years, with the release of the Windows Operating System, but advancements in the technology has organizations of all sizes either implementing the technology or at least considering EDM, either on premise or with a Cloud offering.

    Scot and Steve will bring practical and real world examples from their experience in implementing successful imaging projects.

    From the initial idea to the final result, they will outline what to look for when planning a comprehensive backfile and day forward solution.

    Generally Accepted Recordkeeping Principles

    Don't know where to start with your information governance and records management program? The Generally Accepted Recordkeeping Principles ("The Principles") presented by information governance veteran and high-level thinker Ken Oldenburger will show you the foundational principles of a healthy and vital program. The Principles, combined with the Maturity Model, are exceptional in that they also provide metrics for measuring health in all areas of a recordkeeping program. Ken will present a "high-level" view of The Principles, as well as touch on the metrics. You should download a copy of the Maturity Model for reference.

    Organizing Shared Drives

    This session by Trevor Youdale provides relevant and practical information about records management and shared drives and is of interest to anyone who would like to improve the structure, management and performance of their office share drive(s).This session is based on the content of a successful LAN Organization course developed by the BC Public Service to assist ministries with managing their shared drives in accordance with approved records schedules. The session will explore the nature of managing records on a shared drive, examples of records schedule (ARCS and ORCS) based folder structures, implementation strategies, and effective folder and document naming conventions.

    Noted newsmaker Elizabeth Denham, BC's Information and Privacy Commissioner, will speak about the latest news and developments in access to information and privacy affecting information managers, such as the challenges of cloud computing and open data, as well as some of the privacy concerns that affect us all in this era of highly mobile data and information. There will be a question and answer period following the presentation.

    Denham's office recently attracted attention with her criticism of the 'oral government' record-keeping practices at the Premier's Office. She has also been closely monitoring recent events involving the use of personal email accounts by civil servants, and has issued a news release announcing her office's preliminary investigation (you can read the news release here). As well, the office has issued a guidance document, Use of Personal Email for Public Business, which is available here.

    Well, the flower pickers are starting to harvest the daffodils for shipment to the rest of Canada and the annual flower count runs from March 01 to 07. These are the signs of spring on Vancouver Island. The primulas, tulips, daffodils and snowdrops are opening. The magnolias are getting set to bloom. With spring starting this early, imagine what the early summer can bring? Join us in Nanaimo at the beginning of June to find out.

    ARMA Vancouver Island is pleased to announced Christa Williams as a featured keynote speaker at this October's Whining About Records conference.Christa Williams is a member of the Nlaka'pamux Nation and has extensive experience in working for First Nations in BC. She is currently working for the First Nations Leaders developing a BC-wide First Nations Public Service Capacity Building Strategy to support people working in First Nations communities.

    Christa is widely regarded as an expert in Aboriginal and First Nations education issues and administration. She has strong skills sets in community development, consultation management, strategic planning and project management.

    Christa was the Executive Director of the First Nations Education Steering Committee since for 14.5 years. Christa's long-standing commitment to improving First Nations education has led to significant achievements provincially and nationally. The First Nations Education Steering Committee is a non-profit, independent organization directed by a large board of First Nations community representatives. Under Christa's leadership, FNESC has grown to be an influential body supporting the development of high quality of education for Aboriginal students from kindergarten through post-secondary and adult education.

    Christa holds a Bachelor of Science with Honours from Queen's University and sits on various boards including the Board of Governors of Royal Roads University. In 2006 Christa was recognized by the Province of British Columbia and the First Nations Leadership Council for her contribution to BC Society in the area of Education.

    ARMA Vancouver Island is pleased to announced Dr Mark Langemo as the opening keynote speaker at this October's Whining About Records conference. Dr Langemo is a prolific writer who has published over 60 magazine and journal articles. He is the author of the CD-ROM video training series Establishing and Managing Successful Records Management Programs published in 2003 and the book Winning Strategies for Successful Records Management Programs published in 2002 by Information Requirements Clearinghouse, Inc. (www.irch.com). Dr. Langemo has been the University of North Dakota's 'Teacher of the Year,' and he has received a national award for 'excellence in continuing education seminars.' He is a Certified Records Manager (CRM) who was inducted into ARMA International's 'Company of Fellows' in 1991'ARMA's highest award to an individual. In 1993, Mark Langemo was given the prestigious Emmett Leahy Award by the Institute of Certified Records Managers. The Leahy Award is the highest award internationally in the profession of Records Management. Dr. Langemo is a veteran records management seminar leader, consultant, and a dynamic speaker who presents content-filled, current-to-the-moment, media-illustrated, dynamic, and entertaining seminars.
