Local Government Records Management Event
ARMA Vancouver Island is hosting a special event dedicated to records management in local government, both on the regional and municipal level. This half-day event is from 10:00am – 2:30pm and is well-situated in the Vancouver Island Conference Centre in Nanaimo for the convenience of north-island and south-island attendees.
The primary purpose of this event is to facilitate discussion between the diverse local governments on Vancouver Island, and it will feature presentations including:
- Creating a Municipal Records Management Program: It’s Not Just Buying Software
- Popular Modifications to Version 3 of the LGMA Records Classification Manual
- RIM as a cost-cutting measure
- Creating a sustainable records management program (RIM as a contributor to the organization’s bottom-line)
- Making your color-labeling system work for you
There will also be plenty of opportunity for panel discussions and problem-solving, so bring your records management challenges and your records classification manual!
This event will feature two uniquely specialized speakers:
Jon Weston, the president of ARMA Vancouver Island, has spent the last two years working with several local governments in the Greater Victoria area on their records management projects. He has implemented LGMA-based classification systems, configured and deployed records management software, chaired RIM Committee meetings, and provided consultations on RIM policy development and records classification design.
Sandie Bradley is the author of the Records Management Manual for Local Government in British Columbia, first published by the Municipal Officers Association in 1990, revised 1994, and then updated in 2006 with Stuart Rennie, Barrister and Solicitor. In addition to being a consultant specializing in the development and implementation of information policy for diverse types of organizations, Sandie is an adjunct professor in records and information asset management and information consulting at the School of Library, Archival and Information Studies, University of British Columbia. She is also an academic co-investigator with the InterPARES 3 research project at SLAIS, focusing on the digital preservation needs of small to medium sized archives and organizations.
Registration is $50 for ARMA members and $75 for non-members.

Introductory Records and Information Management (RIM) 1/2-Day Seminar
With an emphasis on municipal, educational, and provincial systemsThis seminar is ideal for those who are faced with administering a fledgling records management program as well as those who will be operating under the auspices of a records management program for the first time and require training to understand their new responsibilities and procedures. It will cover a broad range of records management topics with enough detail to provide attendees with the skills required to function effectively in a RIM environment, including:
- RIM terminology
- Provincial, federal, and international legislation and standards (including FOI)
- Internal policies/procedures/bylaws
- RIM theory (what is a record? What do you need to keep? What is a classification system?)
- File-naming standards
- File tracking and identification
- Off-site and permanent storage services and procedures
- Security and access to records (including confidential records)
- Records control
- Electronic records and scanning/imaging documents
- Case studies: City of Colwood, Island Medical Program

2008 Annual General Meeting
Please join us for this year’s Annual General Meeting (AGM) on Tuesday, June 17th at 5:30pm in the Fernwood Inn. The AGM is a time for us to reflect back on the past year’s activity, and to look to the future of our association. Everyone is encouraged to attend, and appetizers will be provided. Attendees can provide comments on the last year’s events, suggest new ideas and support the continuing evolvement and growth of our chapter.
The AGM is also the time when we choose new members of the board for their upcoming terms. Each year we choose the following:
- a new president - someone to lead the chapter board (1 year term)
- last year’s president automatically becomes the past president (1 year term)
- a president-elect – someone who will become president next year (1 year term)
- a secretary (3 year term)
- a treasurer (3 year term)
- a webmaster – someone to post articles and announcements to the site (1 year term)
- a program planner – someone to coordinate program planning activities (1 year term)
- a writer – someone to help write and coordinate the development of materials created and published by the chapter (1 year term)
- a marketing coordinator – someone to help us with membership recruitment as well as advertisement for our events (1 year term)
- members at large – persons who sit on the board, but do not have specific roles (1 year term)
Being a member of the board has varying time commitments depending on the role that you take on. The board usually meets once a month for approximately two hours. At times of planning major events, such as the joint conference with AABC, there are some additional meetings, but we do our best to accommodate personal lives, and to keep the meetings lively and entertaining (we have been known to convene in a pub…).
The majority of the current board is retiring and so we need to recruit new members to help run the association. A small handful of people cannot run the board alone, so please join us for our AGM in June and consider joining. If you have any questions about what is involved in being a board member, or if you have a skill set that you think may be of some use, please speak to any of the current board members (see below).

Future Evidence, Past Record Conference
We are pleased to announce that ARMA is teaming up with the Archives Association of BC (AABC) for a joint conference on April 24, 25, and 26, 2008. The theme for this event is "Future Evidence, Past Record" and it will be held in the Harbour Towers in downtown Victoria, BC.
Electronic Records Implementation Conference
Following in the same vein as the InterPARES conference, ARMA VI is proud to present a one day conference focusing on implementing electronic records. Health records are a special focus as the challenge of converting health information from physical to electronic is addressed by two of our speakers.

Annual General Meeting
Annual General Meeting is set for 5:00 pm, June 20th, 2007 in the Collard Room at Swan's Restaurant. Please join us for this important event as we will be selecting board members, reviewing the year's activities and seeking comments on the Bylaws.
