Following the notification that we won the bid, the leadership from Vancouver and VI met with Ivan Saunders, Director of Conferences for ARMA Canada, Pat Burns, the outgoing Canada Region Manager, and Jolynne Guillet, Director of Communications and Marketing to discuss the high-level ins and outs of what to expect over the coming years in planning this conference, and to determine an appropriate time for Ivan to come do a ‘site visit’ of Victoria.
It was decided that at some point in the last two weeks in November, Ivan will be venturing out to Victoria to do a tour of the local conference and hotel facilities, and to speak with the leadership of both the Vancouver and Vancouver Island chapters to discuss the best options for venues, and to start thinking about planning the conference.
VI asked ARMA Canada how the appointment of a Conference Chair takes place, as Vancouver and VI had thought that a co-chair would be the best option, and had started to come up with appropriate people to occupy those roles. Bernita Cogswell, the new ARMA Canada Region Manager let us know that it was far too early to be considering names for the Chair position. Turns out that Bernita will be appointing the Host Chapter Chair position for the 2011 P.E.I. conference right about now, so we were a little premature. It also allowed us to learn that we would not need to come up with names, that Bernita would take care of this in consultation with the Region Coordinator and the Chapter President (or Presidents in this case). Bernita told us that detailed planning “anytime prior to 18-24 months [in advance]… is far too early”. Good to know.

Each year at the ARMA Canada Conference, chapters interested in hosting the Canada Conference put in a bid at the leadership conference that precedes the regular conference. Pitching to host the national conference traditionally involves a formal presentation to the gathered leadership, perhaps accompanied by a small trinket (quaintly known as bribery!).
Our bribes started with Vanilla Cream chocolates from Roger’s Chocolates during our formal presentation, along with the new VI chapter pins for all of leadership, City of Vancouver pins and official 2010 Olympic pins for some. Last year, the ante was upped a little bit, and bidding chapters were made to perform a little song about their chapter, and its suitability to host. This year Pat Burns, the Canada Region Manager decided that each bidding chapter should act out a little skit entitled “I had the oddest request today…” where each group had to talk about the little known facts of the potential host city. VI’s skit was done by Ken Oldenburger as a pedi-cab driver, Leonora Casey as the tourist passenger, and (in his debut performance) Jon Weston as a table.

VI’s skit was met with equally entertaining skits by the Terra Nova chapter (Newfoundland and Labrador) and the National Capital Region (Ottawa) chapter.
ARMA VI took the pitch a little further, and hosted a tasting party in the hospitality suite for leadership. Ken and Jon had previously spoken with many vendors who generously donated some of their wares to showcase in the ‘taste of Victoria’ party. Most prominently displayed was the vast spread from Spinnakers Brewpub, consisting of four different kinds of locally brewed beers, tastily paired with hand-made chocolates. Needless to say, these pairings were well received by all! Not to be outdone, Sea Cider Farm and Ciderhouse donated two bottles each of their Pippins and Kings and Spies ciders, and Victoria Gin graciously gave a bottle of their gin which quickly became a favourite among gin drinkers and non-gin drinkers alike. This tasting, in front of the proudly displayed Whale pop-up from Tourism Victoria made for a fantastic evening of gentle persuasion.
The next morning, one representative from each chapter in Canada voted, and as most of you have undoubtedly heard, we won! The 2012 ARMA Canada Conference will be held in Victoria, BC. VI will host in cooperation with the ARMA Vancouver chapter. Both boards are very excited about this wonderful opportunity.ARMA Intl Resources
